Our verdict
FreshBooks is the easiest option for a US freelancer who invoices, tracks time and photographs receipts. Its AI focuses on expense OCR rather than acting as a full accounting copilot. Xero or QuickBooks fit better for advanced reconciliation, 1099 workflows or deeper analysis.
Best for: US freelancers and service businesses prioritising ease of use.
What the internet says
FreshBooks documents receipt OCR from Plus in the United States, Canada and the United Kingdom. The standard Plus price is $43 per month. Official evidence does not support calling it a complete copilot: its accounting AI is deliberately narrow.
What the web repeats in favour
- OCR extracts merchant, date, tax, currency and total
- Combines invoicing, time and expenses for service businesses
What the web repeats against
- Receipt scanning requires Plus rather than Lite
- AI is mainly limited to document capture

Pros / Cons
Pros
- Very easy invoicing
- Receipt OCR on Plus
- Integrated time and projects
Cons
- AI is mostly limited to OCR
- Plus costs $43
- Less accounting depth
Bottom line: FreshBooks is easy for a US freelancer who invoices, tracks time and photographs receipts. OCR requires Plus at the standard price of $43 per month. Its AI does not amount to a complete accounting copilot.
What it does well
FreshBooks turns estimates into invoices, records time and expenses, accepts online payment and gives an accountant access. In the United States, Canada and the United Kingdom, its receipt scanner uses OCR to extract merchant, date, tax, currency and total.
That is useful, material automation, but it is narrow. Receipt OCR should not be confused with broad analysis, advanced reconciliation or ledger agents.
Real price
The published standard prices are $21 per month for Lite, $43 for Plus and $70 for Premium. Receipt scanning is available from Plus. Introductory promotions reduce the first months, not the stable cost.
When to choose it
Choose FreshBooks if you sell services, invoice by project and value ease over accounting depth. Zoho Books supplies more automation for less. Xero improves reconciliation and adviser collaboration. QuickBooks Online has the broadest US ecosystem.
The limitation
Its intelligent automation is concentrated in receipt capture. Complex month-end close, 1099 workflows, inventory or deeper analysis will add manual work or force another system. FreshBooks also does not handle Spanish tax compliance.
