Our verdict

Our verdict · By Serchai

Personio is a strong European choice for companies with 10 to 10,000 employees that want one HR record, more than 200 integrations and EU-hosted data. Its assistant answers questions about people, policies and compensation while respecting each user's permissions. It publishes no rate: cost depends on headcount, the Core or Core Pro plan and added apps.

Best for: European small and mid-sized companies prioritising GDPR, self-service and integrations.

  • More than 200 integrations and API access on Core Pro
  • Strong adoption among mid-sized European companies

Cons

  • No public pricing and an initial implementation fee

TLDR: Personio is a European HR platform for companies with 10 to 10,000 employees. It centralises people data, documents, leave, time, recruiting, performance and compensation. Personio Assistant answers over workforce data and policies while enforcing each user’s permissions. Assistant data is hosted in Frankfurt. The commercial condition matters: no rates are published, implementation carries a fee and several functions are sold as apps.

What Personio is

Personio starts with a Core record for employee profiles, documents, signatures, reporting, workflows, time tracking and preliminary payroll. Core Pro expands permissions, legal entities, planning and API access. Recruiting, performance, compensation, surveys and other blocks are contracted as apps.

That design fits a company that has outgrown spreadsheets and needs one source of workforce data but does not need an enterprise HCM project such as Workday. Personio states a range from 10 to 10,000 employees and has a strong European footprint.

What the assistant adds

Personio Assistant is not a general web search. It reads authorised data and documents within the account. An HR leader can ask about turnover, headcount, compensation or absence. An employee can resolve questions about leave or company policies. The system checks what that person may see before answering.

Personio says data is stored in Frankfurt, AI features can be disabled and existing permissions remain in force. Internal documents can also be connected as company knowledge. This is more specific than copying employee data into a general assistant.

What it is like to use

Ease for employees and managers is the recurring strength in reviews. Requesting leave, updating details, opening documents and completing approvals require little training. Teams also value having one record for processes that previously lived across several systems.

Reporting and customisation are less consistent. Some organisations find filters, workflows or the relationship between modules too rigid. An API exists, but custom integrations require Core Pro. Any business-critical report should be tested with real data before signing.

Pricing and contract

Personio publishes no per-employee figure. Price depends on headcount, plan and added apps. Annual subscriptions carry a minimum 12-month term and may offer a discount for payment in advance. There is also a one-off implementation fee based on company size.

Comparison needs a closed requirements list. If recruiting, performance, compensation and premium support appear after the demo, the proposal can change materially from the cost of Core.

Who it suits

Personio fits European small and mid-sized companies that need:

  • One record for people data and documents.
  • Employee-friendly leave, time and approval flows.
  • Connections to common Microsoft, Google and Slack tools.
  • Access controls and EU hosting for AI queries.

It is a weaker fit when the purchase needs an immediate public rate or the organisation needs the global and financial depth of enterprise HCM.

Personio alternatives

Factorial has a similar position for Spanish SMBs and offers a free core. HiBob puts more weight on performance, compensation and employee experience. BambooHR is often simpler for an SMB prioritising adoption.

Verdict

Personio is a defensible choice for a European company that wants orderly HR and queries over its own data without moving it outside the platform. Its advantage is the balance between the core record, apps, integrations and European controls.

The decisive test is to reproduce three reports, two approval flows and one real integration. Then request the complete price with every app. Without that figure, comparing Core alone hides a material part of the purchase.
